Role Administration Guide

  1. Question: What are roles and how do I create them?
    Answer: Roles are created to grant ‘create, read, update, and delete’ access to certain functions/features within Devensoft. Default roles include Read Only, Full Rights w/o Delete and Full Rights.

    To create a role:
    1. Navigate to Admin/Role Administration.
    2. Select the +Create button.
    3. Role Description: Type in HR Workstream or another functional workstream.
    4. Dashboards: Choose the Dashboard(s) that you want this role to have which is accessible via the Home tab.  BD Dashboard, Due Diligence, IMO Dashboard, Team Lead and Extended Team.
      1. Pipeline Dashboard – Provides insight for current Target activity.
      2. Due Diligence – Targets that display the current phase of "Diligence" are displayed on this dashboard. 
      3. Program Dashboard – High level overview of program activity. Includes burndown visual and summary of first three activity levels. Major RAID items are displayed as well. 
      4. Team Lead – allows a user to display their team activities (in progress and starting in the next 30 days), team open issues and team open risks.  The user can also see his/her own activities that are in progress and starting in the next 30 days.
      5. Extended Team – allows the user to view their activities (in progress and starting in the next 30 days), their open issues and open risks.  The user can also see his/her teams in activities that are in progress and starting in the next 30 days.
    5. Functions/Deal Detail– an area within Devensoft, such as playbooks, projects, tabs, or activities, e.g., risk, actions, issues, and decisions.  
      1. Access – is defined as read, update, create or delete the data within a function.  N/A signifies that the user does not have the ability to update, create or delete that function.

    1. NDA_Tab – is used for external users who must sign an NDA and will not have access to a Target.  They are granted “read” access so they can read and sign the NDA which is in a “Wizard’ format that takes the user through each section of the NDA.   They must “accept” each section before proceeding to the next section.  The only access level assigned to this function is read and the remaining access levels are N/A.
    2. Playbook – a Playbook is the master template of a project plan.  Users can read, update, create Activities within a Playbook or delete the entire Playbook.  
    3. Program – A user can read, update, or delete a Program, e.g., Integration, Divesture, etc.  Since this is the highest hierarchical level, a user cannot create a Program, hence, N/A in the create column.
    4. ProgramActivityMap_Tab – Defines read access to a Program's Activity Map.  Users are not able to update, create or delete this tab, hence N/A is displayed in their respective columns.

    6. ProgramSummary_Tab – Defines read access to a Program's Summary Detail page.  Users are not able to update, create or delete this tab, hence N/A is displayed in their respective columns.
    7. Stream – allows users to copy the Deal's unique email address into an email.  Copies of the email are stored in the Stream tab.  Users have access to this tab via the read access level.   Users cannot create another Stream tab, which is why the update, create and delete display “N/A.”
    8. Target – refers to a company chosen as an attractive merger or acquisition option by a potential acquirer.  Users have access to create, update, or delete a Target.   Access to create a Target is in the User Detail page – “Can Create Target” checkbox.
    9. TargetActivityMap_Tab – defines read access to a Target's Activity Map.  The remaining access levels are displayed as N/A, as the user cannot update, create or delete another Activity Map tab.
    10. TargetSummary_Tab – defines read access to a Target's Summary Detail page.  The remaining access levels are displayed as N/A, as the user cannot update, create or delete another Activity Map tab.
    11. Due Diligence – provides access to Request Items and stored in the Due Diligence module.  Users can read, update, create or delete Due Diligence items.
    12. Project – The highest level of a workplan that groups together Workstreams, SubWorkstreams, Milestones, Tasks, and SubTasks.  Users can read, update, create or delete Projects.             
    13. Workstream – comprises the highest level of the functional teams and is comprised of SubWorkstreams, Milestones, Tasks, and SubTasks.  Users can read, update, create or delete Workstreams.               
    14. SubWorkstream – represent a set of key activities within a single or across multiple sub-functional teams.  Users can read, update, create or delete SubWorkstreams.
    15. Milestone – represent discrete objectives that must be met to successfully complete a workstream.  Users can read, update, create or delete Milestones.                     
    16. Task – are the second lowest unit of time-based work associated with Milestones.  Users can read, update, create or delete Tasks.               
    17. SubTask – are the lowest unit of time-based work associated with Tasks.       Users can read, update, create or delete SubTasks.         
    18. Finding – During the Due Diligence process any findings related to financial matters, technology, customer, sales, contracts, etc. can get captured on the Findings tab.  Users can read, update, create or delete Findings. 
    19. Package – a subset of Activities identified within the Playbook.    Users can read, update, create Activities within a Package or delete the entire Package.  
    20. Risk – events that will have an adverse impact.   Users can read, update, create or delete Risks.
    21. Action – an activity such as a to do, meeting, follow-up, or data request.                Users can read, update, create or delete Actions.                              
    22. Issue – something that is going wrong within a project and needs attention and management.  Users can read, update, create or delete Issues.                                   
    23. Decision – an activity whereby a judgement needs to be made to move the project along.  Users can read, update, create or delete Decisions.                                          
    24. TSA – Transition Services Agreement feature allows management of divestitures.   Users can read, update, create or delete TSA’s.
    25. Note – allows you to keep track of reminders, conversations or share new information within each deal.  Users can read, update, create or delete Notes.                 
    26. Document – can be stored within Devensoft for easy access and support versioning, check-in/checkout, and advanced security. Users can read, update, create or delete Documents.
    27. Folder – Viewing files and folders follows the standard computer hierarchy of listing the folders first, followed by files.  Users can read, update, create or delete Folders.
    28. Financial – Financial Targets are goals to capture workstream value, either as a benefit or an expense.              
    29. Message – a function that is no longer used and will be removed from the system.
    30. Contact – Contacts can include internal and external individuals. Contacts are not automatically granted login access to Devensoft M&A.    
    31. Deal Stage – a function that is no longer used and will be removed from the system.
    32. DealStagePerDeal – a function that is no longer used and will be removed from the system.
