Executive Project Summary Report

Overview:

The Executive Project Summary Report provides a high-level overview of project status, showing key details about each project on separate pages. This report allows stakeholders to get a quick snapshot of each project, including RAID (Risks, Actions, Issues, Decisions) sections.

You can navigate between project pages to view the status of multiple projects within the same report.


Parameter Descriptions:

1. Projects:

  • Purpose: Filters the report to display only the selected project(s). By selecting one or more projects, users can focus on specific projects of interest.
  • Data Source: Data is pulled from the Projects Database, where all projects are listed with unique identifiers. The report will only show the details, workstreams, and RAID items linked to the selected project(s).

2. Workstreams:

  • Purpose: Filters the report to focus on specific workstreams within the selected projects, particularly within the Workstreams section.
  • Data Source: Information is sourced from the Workstream Management System, which organizes workstreams based on their associated projects. The selected workstreams will be displayed under the relevant project in the report.

3. Show Report Section:

  • Purpose: This parameter allows users to hide or show the four RAID sections (Risks, Actions, Issues, Decisions) within the report. Showing these sections provides insight into key project issues and decisions.
  • Data Source: Data is drawn from the RAID Management System, where Risks, Actions, Issues, and Decisions are logged for each project and its workstreams.

4. Section Type:

  • Purpose: Allows users to hide or display specific sections of the report based on their preferences. This ensures users can focus on the most relevant information, such as project risks or key decisions.
  • Data Source: This parameter connects to the Report Layout Configuration, controlling the visibility of the listed sections within the report.

5. Include Report Objective / Introduction:

  • Purpose: This option adds a summary of the report’s objectives and includes a detailed explanation of the applied filters. This is especially useful when exporting the report as a PDF or PowerPoint file.
  • Data Source: The Report Generation System automatically pulls metadata about the filters used in the report and inserts this information as an introduction in the exported file.

Built-In RAID Filters:

The Executive Project Summary Report includes specific RAID filters that are always applied, regardless of user-selected parameters. These filters ensure that only critical RAID items are shown:

  1. Actions, Decisions, Risks, and Issues:

    • Filter Logic: Only items where the "Major" checkbox is selected and the status is "Open" will be displayed in the report.
    • Data Source: This data is sourced from the RAID Management System, where each RAID item is flagged based on its importance and status.
  2. RAID Association:

    • Filter Logic: Only RAID items that are associated with the selected workstream or its child activity map items are displayed.
    • Data Source: Cross-referencing is performed between the Workstream Database and the RAID System to ensure that only relevant RAID items related to the workstream are shown.

Report Structure:

  • Project Pages: Each project is displayed on a separate page within the report. Users can navigate between project pages to view details of each selected project. The structure ensures that each project’s data, including workstreams and RAID items, is easily accessible and clearly presented.
  • Data Source: Each project’s data is pulled from the Project Management System, ensuring that all relevant information related to workstreams, tasks, and RAID items is displayed.

Important Note:

Unlike the Category Status Report, the RAID filtering in the Executive Project Summary Report only shows RAID items marked as "Major" and still "Open." This difference means that certain RAID items may not appear in both reports, depending on how they are categorized in the system.
