Workstream Status Report (Category Status Report)

The Category Status Report gives project stakeholders a detailed view of the progress and status of various workstreams within their projects.  This report allows users to filter and focus on specific data, such as tasks, milestones, and RAID items (Risks, Actions, Issues, Decisions).


Parameter Descriptions

Each parameter in the report allows users to customize the data they want to display. Below is a breakdown of what each parameter does and how it influences the report:


1. Projects:

  • Purpose: Filters the report by one or more selected projects.
  • Data Source: This parameter pulls data from the Projects Database, only showing workstreams, tasks, and milestones associated with the chosen project(s).

2. Workstreams:

  • Purpose: Allows you to narrow the report to specific workstreams within the selected projects.
  • Data Source: Data is sourced from the Workstream Management System, and each workstream’s tasks, milestones, and RAID items will be displayed on individual pages.

3. Criticality:

  • Purpose: This parameter filters tasks and milestones by their level of importance or urgency (Criticality).
    • Affected Sections:
      • Key Accomplishments
      • Upcoming Activities
      • Burndown Summary
  • Data Source: The report pulls this data from the Task Database, which assigns a Criticality level (e.g., high, medium, low) to each task and milestone. Only those tasks matching the selected criticality level will be shown.

4. From/To (Date Range Filters)

Purpose:
These filters let you specify a date range to narrow down the report. Data will be displayed based on task start and end dates within the specified range.

Sections Affected:

  • Key Accomplishments:

    • Filters by Actual End Date. If no date is provided, the report includes all tasks with an Actual End Date.
  • Upcoming Activities:

    • Filters by Forecast End Date. If both dates are empty (NULL), tasks without an Actual End Date will be shown.
  • Burndown Summary, Milestone Status Summary, Delayed Tasks:

    • Date filters apply based on Actual Start, Actual End, Forecast Start, and Forecast End dates with the following logic:
      • a) If both From and To dates are empty, all tasks are shown.
      • b) If the From date is empty, tasks with an Actual Start before the To date are shown. If Actual Start is empty, it checks if the Forecast Start is before the To date.
      • c) If the To date is empty, tasks with an Actual End after the From date are shown. If Actual End is empty, it checks if the Forecast End is after the From date.
      • d) If both From and To dates are provided, tasks with Actual Start or Forecast Start within the date range are shown.
  • Data Source:
    Data is retrieved from the Task Management System and Milestone Database, where all start/end dates are logged.

5. Activity Type:

  • Purpose: Controls the visibility of different types of activities (Milestones, Tasks, SubTasks) in various sections.
    • Sections Affected:
      • Key Accomplishments
      • Upcoming Activities
      • Burndown Summary
  • Data Source: Activity Type information is pulled from the Activity Type Table, which categorizes each task or milestone as a specific type (e.g., milestone, task, subtask).

6. Show Report Section:

  • Purpose: Allows users to hide or display the four RAID sections (Risks, Actions, Issues, Decisions) based on their needs.
  • Data Source: RAID data is pulled from the RAID Management System. This parameter determines if the risks, actions, issues, or decisions related to the workstreams are displayed in the report.

7. Section Type:

  • Purpose: Enables users to hide or show specific sections of the report, allowing them to focus on the most relevant data.
  • Data Source: This parameter controls the visibility of various sections using the Report Layout Configuration System.

8. Include Report Objective / Introduction:

  • Purpose: This adds an introduction that explains the report’s objectives and details the filters applied. This is especially useful when exporting the report to PDF or PPTX format.
  • Data Source: The Report Generation System generates the introduction using metadata about the applied filters and formatting.

Built-In Filters for RAID Items:

Along with the customizable filters, the report includes certain built-in filters to ensure critical RAID items are always displayed:

  1. Actions and Decisions:

    • Logic: Only shows items where the "Major" checkbox is selected, and the status is "Open."
    • Data Source: Pulled from the Action and Decision Management System, where the status and importance of each item is logged.
  2. Risks:

    • Logic: Displays only risks with a "High" impact, regardless of the "Major" checkbox. The report will only show risks that do not have a Closed Date.
    • Data Source: Pulled from the Risk Management System, where the risk severity and open/closed status are tracked.
  3. Issues:

    • Logic: Displays issues with a "High" impact that are still marked as "Open."
    • Data Source: Data is pulled from the Issue Tracking System, which categorizes issues by impact and status.
  4. RAID Association:

    • Logic: Only shows RAID items linked to the selected workstream or its child activities.
    • Data Source: The system uses the Workstream-RAID Mapping Table to ensure that only relevant RAID items are displayed.

Report Structure:

  • Workstream Pages: Each workstream is displayed on a separate page within the report. You can navigate between pages to review different workstreams, ensuring that the report stays organized and easy to read.
  • Data Source: Each workstream page pulls data from the Workstream Management System, which logs all tasks, milestones, and RAID items specific to the workstream.

Example: Displaying All Records Without Date Filters

If you want to generate a report that shows all relevant data without filtering by specific dates, you can set both the From and To date fields to NULL. This will ensure that the report displays all records, regardless of their start or end dates.

Configuration Example:

  • Project: Select the relevant project from the dropdown (e.g., "Acquisition (Process Mgmt.), Financial...").
  • Workstream: Choose the desired workstream (e.g., "Build mitigating strategies for facility r...").
  • Criticality: Set to "Not Set, High, Medium, Low" to include tasks and milestones of all criticality levels.
  • From and To Dates: Set both fields to NULL. This tells the report to ignore date-based filters and show all records.
  • Activity Type: Select "Milestone, Task, SubTask" to display all activity types.
  • Show Report Section: Set this to "Yes" to display RAID sections (Risks, Actions, Issues, Decisions).
  • Section Type: Choose "Major Actions, Major Decisions..." or any other relevant section type.
  • Include Report Objective / Introduction: You can leave this as "No" if you don’t want to include a summary of the filters in the exported file.

This setup will display all tasks, milestones, and RAID items for the selected project and workstream, without restricting records based on dates.
